1. Who we are

CleanerNest provides scheduling, invoicing, and team management software for UK domestic cleaning businesses. Our website is www.cleanernest.co.uk.

For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), CleanerNest is the data controller for personal data we collect about you.

2. What data we collect

Account and business data

When you create an account: your name, email address, business name, and billing address. When you set up your business profile: your business address, VAT number, and phone number.

Team member data

Names, email addresses, and role information for cleaning staff you invite to the platform. GPS coordinates recorded at clock-in and clock-out (latitude and longitude only, stored with timestamp and job reference).

Client data

Names, email addresses, phone numbers, and property addresses for the clients whose jobs you manage through CleanerNest. You are responsible for having an appropriate lawful basis for holding your clients’ data within our system.

Payment data

We do not store card numbers. Payments are processed by Stripe. We receive and store your Stripe customer ID, subscription status, and billing history.

Usage and technical data

Log data including IP address, browser type, pages visited, and timestamps. This is used to operate and improve the service.

Communications

When you contact us by email or through our feedback widget, we retain those messages to respond to your enquiry.

3. How we use your data

To provide the service

We use your data to operate CleanerNest: creating your account, running your jobs, generating invoices, sending automated reminders, and processing your subscription. Lawful basis: contract performance.

To manage billing

We pass your email address and subscription information to Stripe to process payments and manage your subscription. Lawful basis: contract performance.

To send transactional emails

We use Resend to deliver invoices, team invitations, and job reminders on your behalf. Lawful basis: contract performance and legitimate interests.

To improve the product

We use aggregated, anonymised usage data to understand how the product is used. Lawful basis: legitimate interests.

To comply with legal obligations

We may retain financial records and invoicing data as required by HMRC and UK tax law. Lawful basis: legal obligation.

4. Who we share data with

We do not sell your data. We share data only with the following third-party service providers:

Supabase — our database and authentication provider. Data is stored in the EU West 2 (London) region.

Stripe — payment processing. Stripe is PCI-DSS compliant. Their privacy policy is at stripe.com/gb/privacy.

Resend — transactional email delivery (invoices, reminders, team invitations).

Google Maps Platform — address autocomplete in the job booking form. Only the address text is sent; no user identifiers are passed to Google.

Vercel — our hosting provider. The application runs on Vercel’s infrastructure.

All processors are bound by appropriate data processing agreements and are required to handle data in compliance with UK GDPR.

5. How long we keep your data

Account data: Retained for the duration of your subscription and for up to 2 years after cancellation, unless you request deletion sooner.

Invoice and financial records: Retained for 7 years to comply with HMRC requirements.

GPS clock-in data: Retained for 90 days from the date of the job.

Log data: Retained for 30 days.

6. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate personal data
  • Request deletion of your personal data (the right to be forgotten)
  • Restrict how we process your data in certain circumstances
  • Receive your data in a portable, machine-readable format
  • Object to processing based on legitimate interests
  • Withdraw consent where processing is based on consent

You also have the right to lodge a complaint with the Information Commissioner’s Office at ico.org.uk/make-a-complaint.

7. Cookies

Strictly necessary cookies

These are required for the service to function. They manage your login session and keep you authenticated. You cannot opt out of these while using the service.

Functional cookies

Used to remember your preferences within the application.

We do not currently use analytics or advertising cookies. If this changes we will update this policy and seek your consent before doing so.

8. Data security

We use industry-standard security including encrypted connections (HTTPS), row-level security on our database, and strict access controls. Staff accounts can only access data that belongs to their organisation. Payment data is handled entirely by Stripe and is never stored on our servers.

9. Children

CleanerNest is a business-to-business service intended for adults aged 18 and over. We do not knowingly collect personal data from children.

10. Changes to this policy

If we make material changes to this policy, we will notify registered users by email before the changes take effect. The “Last updated” date at the top of this page reflects when this policy was last revised.
